THE PROTECTION OF PERSONAL INFORMATION ACT
CUSTOMER PRIVACY NOTICE
This Notice explains how we obtain, use and disclose your personal information, in accordance with the requirements of the Protection of Personal Information Act (“POPIA”) and GDPR.
Please do not utilise our websites or any of our services if you DO NOT accept this Policy. Your continued use of our websites and services indicates that you have read and agree to the terms of this Privacy Policy.

About the Company
Medtalkz is an education based not-for-profit company offering a wide range of services including, educational material via different platforms as well as services to 3rd party clients including event organising, AV support and hosting of 3rd party educational content.
The information we collect
The information we collect includes contact details, geographic details, demographic details and information relevant to your field of medicine and your health profession. This information is used to identify our members as healthcare professionals, guide our education program’s content, issue and submit CPD points, enable restricted access to certain learning material and enable the Medtalkz Incentive program. Contact information is used by us for marketing purposes.
This information is collected at time of registration on our websites or at any event we are involved in. Where possible you have the option to not provide certain, non-obligatory, information. This is indicated on our registration forms.
Website usage information is collected using “cookies” which is used to enable us to track lectures watched off our website in order to issue CPD points. We also use Google analytics to assist in website stats and allows us to collect standard internet visitor usage information.
How we use your information
We use your information for our own stats and to guide us in our program development.
We use your contact information for our newsletters and marketing campaigns be they specifically Medtalkz or when hosted for a 3rd party.
We use your information in our Social Media marketing including Facebook.
Where we offer event organising and AV support, on behalf of a 3rd party, the personal information collected there may be shared with the 3rd party Organisation, who will have their own Privacy Policy, for example a Company or Society hosting an event.
We DO NOT sell nor share your information to 3rd party companies, neither do we send advertising material for 3rd party companies e.g. promos or product information.
We share your information across our different platforms to seamlessly integrate our services to you, our member.
Security
Although absolute security cannot be guaranteed on the internet, we have in place up-to-date, reasonable technical and organisational security measures to protect your Personal Information against accidental or intentional manipulation, loss, misuse, destruction or against unauthorised disclosure or access to the information we process online.
While we cannot ensure or warrant the security of any Personal Information you provide us, we will continue to maintain and improve these security measures over time in line with legal and technological developments.
We store your Personal Information directly, or alternatively, store your Personal Information on, and transfer your Personal Information to, a central database hosted on a secure server in a secured server farm. If the location of the central database is located in a country that does not have substantially similar laws which provide for the protection of Personal Information, we will take the necessary steps to ensure that your Personal Information is adequately protected in that jurisdiction by means of ensuring that standard data protection clauses are enforced as envisaged by the GDPR.
All reasonable steps to prevent unauthorised access to, or disclosure of your Personal Information are taken. However, it is impossible to guarantee that your Personal Information shall be 100% secure.
We will notify you of any breach of data involving your personal information as soon as is reasonably possible and every action will be taken to ameliorate this breach.
Disclosure of information
We may also disclose your information:
- Where we have a duty or a right to disclose in terms of law or industry codes.
- Where we believe it is necessary to protect our rights.
- Where you have been asked AND you have a consented to have your information shared with a 3rd party, for example a product launch where the 3rd party may want to contact you subsequently.
Your Rights: Access to information
You have the right to request a copy of the personal information we hold about you. You may do this by emailing us on the email address below.
To correct any of your information we have on our database, by logging in to Medtalkz and correcting it yourself.

You have the right to unsubscribe from our newsletters.

Definition of personal information
According to the Act ‘‘personal information’’ means information relating to an identifiable, living, natural person, and where it is applicable, an identifiable, existing juristic person. Further to the POPI Act, Medtalkz also includes the following items as personal information:
- All addresses including residential, postal and email addresses.
- Change of name – for which we require copies of the marriage certificate or official change of name document issued by the state department.
